My trading name is Abigail Rogers.  

 

I am committed to the highest privacy standards.  However you choose to interact with me, I will only collect data that is necessary to deliver the best possible service, with your ongoing care as my priority.  This policy provides detailed information on when and why I collect your personal information, how I use it and the very limited conditions under which I may disclose it to others. 

What information do I collect about you?

If you subscribe to my online newsletter, I collect only the basic information needed to allow me to stay in touch with you.  You may change your mind at any time and withdraw your consent by unsubscribing from my mailing list.

I collect information about you when you register with me as a prospective client, enquire about my services or ask my professional advice.  I collect information during the course of your hypnotherapy sessions.  I may also collect information when you voluntarily complete customer surveys, provide feedback, participate in competitions or contact me via my website, email or social media. 

  

This information may include your name and contact details; details relevant to your course of therapy such as information about your health, history, lifestyle and background; details of the discussions we have and your progress during sessions.  I may also store associated information received from other health care professionals or other third parties, as part of my duty of care.

 

I may also collect information such as credit card and bank account details where these are required for processing payments.

How will I use the information I hold about you?

Clients & enquiries: 
I collect information about you to ensure I can provide a thorough and fully informed service to you; to help us monitor your progress and ensure there is a record available should it be needed for legal or medical reasons.  I use your contact information to respond to queries from you; to arrange appointments, compile invoices and receipts; and to keep you informed of products and services which are appropriate for your needs.  

 

Where appropriate I also use your bank details to collect Direct Debit payments as agreed.

I may occasionally contact you to ask for your feedback on services I have provided and to offer the opportunity to trial new products.

Newsletter subscribers:

I collect basic contact information to allow me to send you occasional newsletters by email.  These may include updates, news, articles which I feel are appropriate for my subscribers, promotions, offers and market research.

How will I store, process and retain your information?

Your records are stored, processed and retained securely, on paper and electronically.  I am committed to ensuring that your information is secure.  In order to prevent unauthorised access or disclosure, I have put in place suitable physical, electronic and administrative procedures to safeguard and secure your information.

Any records I keep are stored securely and are destroyed once the information is no longer required. 

How and when may I share your personal information?

Clients & enquiries: 

Where necessary I may disclose your information to other health care professionals.  I may also pass information to external agencies and organisations, including the police, for the prevention and detection of fraud and criminal activity or for the protection of yourself or the general public.  Should any claim be made, I may pass your personal information to my insurers and if my business is wholly or partially transferred to a third party, your personal information may be one of the transferred assets.

From time to time I may require support and training from third parties, who require access to electronic records to assist me in running my website, email and social media accounts.  My support providers do not access or use client data for any other purpose and this is an essential service.

Please be aware that any enquiries sent via my Wix website contact form; sent via Hypnotherapy Directory; sent via social media messaging facilities or sent directly to my Gmail email address, cannot be guaranteed to be absolutely secure and are subject to the privacy policies of these third party organisations.  It is recommended that you do not communicate any sensitive information in this way and if your enquiry is of a sensitive nature, it may be better to arrange to speak on the phone.

I will not share your information for marketing purposes with external companies.  

I may use information to analyse trends, or to audit my performance or your progress.  This enables me to monitor and improve the quality of care that I offer you.  Wherever possible (i.e. if I do not need to know who an individual patient is) I will only analyse trends from anonymised information.

Newsletter subscribers:

My website is hosted and run using Wix and my mailing list is operated through Mailchimp, both of which are GDPR compliant.  For further information please refer to the privacy information on their websites.  I will not share your information with any other third party.

How long will my information be kept?

I will retain your information for as long as reasonably necessary to provide my products and services and to maintain records to satisfy tax and other legal requirements.  In line with current recommendations for best practice from my advisory and regulatory bodies (the NCH, AfSFH and CNHC), if you have made an enquiry or consulted me this may mean I retain your records for up to 8 years or, in the case of children under 18, until their 25th birthday.

Access to your information, correcting your information and your rights

You have the right to request a copy of the information that I hold about you.  If you would like a copy of some or all of your personal information, please contact me using the details below.

I want to make sure that your personal information is accurate and up to date.  You may ask me to correct or remove information you think is inaccurate and I will do so promptly.

In certain circumstances you can request that I erase your data, which I will do where this would not prevent me from meeting my legal and regulatory obligations.

Updating your communication preferences

You may ask that I do not send you communications using any of the contact details I hold on my records; this may include your email, SMS, telephone and postal information.  You may also request that I restrict my communications to clinically necessary messages.  Your personal preferences can be changed at any time by using the link at the end of every email I send, or by using my contact details below.

 

Cookies
